The last guest has gone home. The venue is cleaned up. Your team is ready for some well-deserved rest. After months of planning, it can be tempting to consider your fundraising event complete.

But in reality, one of the most important phases of the event’s lifecycle is just beginning: post-event follow-up. Sponsors, donors, attendees, volunteers, and supporters are paying attention to see what you do next. Will they receive a sincere thank-you and learn what their support helped accomplish? Or will they be forgotten until next year’s ask?

Thoughtful follow-up is an extremely effective way to turn one-time event participants into long-term supporters of your mission. The 2026 Recurring Donor Report found that recurring donors expect a mix of post-donation communication, with the most valuable touch points being donation receipts (50.1%), program updates (45.8%), proof of impact (40.3%), new ways to get involved (35.2%), and formal thank-you letters (32%).

Your follow-up strategy should build trust with your donors. This guide will explain five best practices that help extend the impact of a fundraising event: gratitude, ROI reporting, winner outreach, messaging tools, and data stewardship.

1. Express gratitude to sponsors, donors, and volunteers

Gratitude is the first data point supporters use to judge whether they’ll show up again next year. The sooner you can thank your supporters, the better. Here’s how:

  • Send prompt, heartfelt thank-yous. While a prompt email is a great place to start, avoid sending the same generic message to everyone. Segment your audience and personalize the messaging. Thank sponsors for investing in your mission, recognize volunteers for their time, and acknowledge donors for the financial impact of their gifts.

2. Report on fundraising success and ROI

Sharing results transforms a one-time transaction into a shared win, and for corporate sponsors in particular, it can be the difference between a one-year sponsorship and a multi-year partnership. 

Start by sharing the overall success and fundraising outcomes with your full supporter base. People enjoy seeing the collective impact of their participation—it reinforces that they were part of something meaningful. Celebrate key metrics such as:

  • Total funds raised

  • Number of attendees

  • Volunteer participation

  • Programs or initiatives the funds will support

Don’t stop at numbers—include photos from the event or a recap video, any testimonials or mission stories, and examples of how funds will directly benefit your mission. 

Corporate sponsors deserve an additional layer of reporting. Create a sponsor-specific recap that details how you delivered on every sponsorship benefit you promised, whether it’s logo placements, signage, digital promotion, speaking opportunities, social media mentions, or attendee engagement. 

Strong reporting strengthens sponsor confidence and gives them compelling reasons to renew their support. And while this comprehensive reporting can wait a couple of weeks, some supporters need more immediate and transactional follow-up communications. 

3. Send unique follow-ups to auction and raffle winners

Charity auction and raffle winners are distinct event attendees with immediate next steps: payment, item pickup or delivery, and a thank-you all need to happen while the excitement of winning is fresh.

  • Reach out promptly to confirm payment details and coordinate pickup or delivery logistics. Clear communication prevents confusion and leaves the winner with a positive final impression of your event.

  • Thank winners specifically for participating in your auction or raffle. This communication should stand apart from your general post-event thank-you, reinforcing the value of their involvement with a personalized message.

  • Invite them back next year. Don’t let these contacts disappear into your database. Invite auction and raffle participants to next year’s event and continue including them in appropriate stewardship communications. Today’s winner can easily become next year’s returning attendee, donor, or sponsor. 

Effective and timely handling of winner logistics protects your reputation for next year. Fortunately, the right technology tools make this kind of individualized follow-up manageable at scale.

4. Leverage integrated messaging tools and strategic cadences

Trying to manually track who has been thanked, who received results, who was invited back, and who still needs follow-up quickly becomes unmanageable when you’re working from spreadsheets and inboxes.   • Ongoing: Continue segmented stewardship communications throughout the year with mission updates, volunteer opportunities, event invitations, and fundraising campaigns. 

These tools also come with another benefit: capturing and organizing crucial event and engagement data. Next, that data needs to move to its permanent home.

5. Export data for long-term donor and sponsor stewardship

Every piece of data gathered during registration and the event itself is only useful if it survives past this year’s event. As part of your post-event workflow, export attendee, sponsor, volunteer, and donor data into your nonprofit’s CRM. Preserve not only contact information, but also participation history, giving amounts, sponsorship levels, volunteer roles, and communication preferences.

This information becomes the foundation for year-round stewardship. Don’t wait until next year’s event announcement to nurture these relationships through regular communications. When the time comes to promote your next event, your outreach becomes far more meaningful because you can personalize it. Instead of saying “We hope you’ll join us again at this year’s golf tournament,” you can say “Thank you for sponsoring our hole-in-one contest last year” or “Your foursome helped raise funds for our youth programs.”

Those details demonstrate that your organization remembers and values the relationship beyond the transaction. Exporting event data marks the point where your focus shifts from managing logistics to strengthening relationships.


Your fundraising event may only last one day, but the relationships it creates can be a recurring source of support for your cause. The key is treating post-event communications as a connected system rather than a collection of individual tasks: prompt gratitude makes supporters feel appreciated, impact reporting demonstrates accountability, dedicated outreach to auction and raffle winners creates a positive event experience, strategic messaging keeps your organization top of mind, and thoughtful data stewardship ensures every touchpoint contributes to stronger relationships with your nonprofit.
